how i smash through my to do lists

Okay you’re gonna think I’m out of my mind when I share this trick.

But I PROMISEEEEE it works so well.

So if you struggle with:

  • Falling behind on your tasks

  • Constantly having to reschedule them

  • Getting overwhelmed bc you’re always playing catch-up

HR is lonely. It doesn’t have to be.

The best HR advice comes from those in the trenches. That’s what this is: real-world HR insights delivered in a newsletter from Hebba Youssef, a Chief People Officer who’s been there. Practical, real strategies with a dash of humor. Because HR shouldn’t be thankless—and you shouldn’t be alone in it.

The old way

I plan my tasks as if I wake up every morning super motivated.

(I don’t.)

So what happens is this:

I’ll have a list of 6 things on today’s to do list,

Complete 4,

Then feel like a failure because I didn’t get everything done.

If I needed to rest or spend time with family,

I felt guilty…

After all, there were still undone tasks hanging over my head.

The new way

Here’s an example of my to do list (I use my TTL system - Today, Tomorrow, Later).

No need to reschedule things -

If something doesn’t get done today,

Just leave it under “Today”

(Because tomorrow is the new today…)

Here’s the trick:

If you have 6 things you need to get done,

Only put 2-3 under “Today” -

The rest can put saved for “Tomorrow.”

That way, when you complete 3 things, you’ll think:

“omg I got everything I needed done today! I can rest guilt-free. Or I can feel like I’m getting ahead if I complete more than 3 things.”

Let’s say I complete 4 tasks:

3 from “Today,”

1 from “Tomorrow.”

I feel like such an overachiever.

I don’t feel guilty for resting.

I feel proud of myself.

Which life would you rather live?

In both scenarios, I completed 4 tasks.

Old way: feeling disappointed because I completed 4 out of 6 tasks.

New way: feeling proud of myself for completing 4 out of 3 tasks. I’m excited to tackle the next day.

By adjusting my expectations and making time for rest,

I feel better, mitigate burnout, and can stay more consistent

(Instead of avoiding my overwhelming to-do list).

What do you think of this trick 👀 would you try it out?
